Cancellation Policy

By booking a tour with Explore USA Tours, you agree to the following terms: Reservations and Payments: Reservations can be made through our website or group leaders. Full payment is required at least 30 days before departure. Unpaid reservations may be canceled. Cancellation Policy: Cancellations or changes made more than 30 days before departure receive a full refund. Cancellations made within 3 weeks of departure are subject to a 50% penalty. Cancellations within 7 days of departure are non-refundable. Tickets may be transferred to another traveler up to 2 weeks before departure, subject to notification and acceptance of these terms. Departure and Transportation: Most tours depart from 137th Street & Broadway, New York, at 6:45 AM, unless otherwise specified. Travelers are responsible for arriving on time. No refunds are provided for late arrivals or no-shows. Transportation is provided by air-conditioned buses, minibuses, or vans depending on tour size. Smoking is prohibited on all vehicles. Tour Operations: Explore USA Tours may modify itineraries, schedules, accommodations, or prices when necessary. Tours may be canceled due to insufficient participation or unforeseen circumstances, with refunds issued minus applicable service fees. Traveler Responsibilities: Passengers must carry valid identification and, for international travel, all required travel documents. Guests are responsible for their luggage, personal belongings, and compliance with destination requirements. Liability: Explore USA Tours acts solely as a tour organizer and is not responsible for delays, accidents, injuries, loss of property, weather conditions, supplier changes, or the actions of transportation providers, hotels, restaurants, attractions, or other third parties. Hotels and Room Occupancy: Prices are based on single, double, triple, or quad occupancy. Travelers requesting roommates may be charged a single supplement if a roommate is unavailable or cancels. Additional Information: Gratuities are not included unless stated. No refunds are provided for unused services, admissions, meals, accommodations, or portions of a trip. Tours operate rain or shine. Photos may be taken during tours for promotional purposes unless the traveler opts out. Explore USA Tours reserves the right to refuse service and to update these terms without prior notice.
